Bulletin Editor & Proof Reader 

Bulletin Editor

The Bulletin Editor reports to the Club President/Executive Council.  The Bulletin Editor coordinates with:

  • The recording secretary
  • The membership secretary(ies)
  • Committee chairs regarding activity submissions or lack thereof
  • Activity leaders who have not submitted write-ups
  • Proof-reading committee
  • Printer
  • Web master and forms administrator
  • Other Bulletin editors
  • Bulletin cover editor
 

Responsibilities:

  • Collects Bulletin mail from the post office box
  • Types mailed submissions into computer
  • Collates “When & Where” and “We Were There” submissions from web site and other e-mails
  • Obtains Council minutes from recording secretary
  • Contacts people (and/or the appropriate committee chairs) who are listed in the Prospectus but have not submitted write-ups
  • Coordinate with submitters concerning how much advance notice is desired for multi-day activities
  • Edits submissions for accuracy, clarity, English usage;  edits entries tht may have negative personal agendas, excess, and otherwise objectionable material
  • Requests submitters of excessive length “We Were There’s” to resubmit within length guidelines
  • Prepares calendar for the month
  • Formats Bulletin in draft form
  • Coordinates with cover editor to place important notices on front cover
  • Delivers draft Bulletin to Proof-reading Committee
  • Corrects proofread Bulletin
  • Delivers completed Bulletin to Printer
  • Advises next month’s editor of changes made and passes on unused items
  • Answers or directs inquiries received at chemeks@chemeketans.org, mail, or phone to appropriate party:  president, membership secretary, etc.
  • Arranges for Bulletin to be put in PDF format and advises membership secretary
  • Accepts ads for back cover; format as necessary; deliver ads to printer; monitor expiration of ads
  • Accept and format articles and include them in Bulletin – e.g., conservations items, obits
  • Have e-mail access.  Be reasonably fluent in Microsoft Work
  • Have a good working knowledge of the usage and spelling of American English.

Proof Reader  

  1. Proofreader(s) should have expertise in spelling and grammar.
  2. Proofing should be completed in teams of two.  One person reads the source materials and the other follows on the typed Bulletin, unless otherwise state.
  3. Proof the typed “When and Where” pages including “Future Events” against the Activity Information forms or substitute form checking for:

     - Accuracy of telephone number(s) – check the roster if necessary.

     - Time and place to meet – meeting place should be one of the Chemeketan designated ones.  “Pre-reg w/ldr” will normally be used in lieu of usual meeting places due to safety.  (See page 2 of Bulletin for explanation of the abbreviations.)

     - Correct spelling of activity location – name of the river, mountain, etc.,  (Use a reference book if in doubt.)

    - Exact wording – unless the Bulletin Editor has shortened the write-up to meet the 3 to 4 lines of Bulletin limit or to fit on a page.  The “When and Where” section is in a table and this table has the final control as to the last useable line
    on a page.
  4. Read the CURRENT “Calendar” page(s) against the “When and Where” section.

     - Make sure the day of week and date agree, i.e., that Wed is actually the 3rd.
  5. Read the FUTURE “Calendar” page(s) against the “When and Where” section and the Activity Information form/substitute form, if an even is not listed in the Future “When and Where” section.
  6. Read the “We Were There” articles for readability, spelling, etc.

     - If there is a problem, refer first to the original document, then change if necessary to help the sentence read properly.  Do NOT destroy the flavor of the writing.

     - Proof the spelling of the names against the roster, unless you know it is spelled correctly.
  7. Read the “Minutes,” “Items of Interest,” “Conservation Corner” articles and “Membership” against the originals for grammar and spelling.

     - If there is a problem, change the sentence to read properly.
  8. Proof Page 2 “Monthly Hike Coordinator” section for the correct “month” (same as Bulletin) and the name and telephone number of that month’s coordinator and anything else that is updated.
  9. Make certain that the correct committee abbreviation is listed on the “Calendar.”  Below is a short definition of each committee:

    E - Entertainment:  Covers only the banquet, Halloween party in town, and the Christmas party.

    P - Picture Night:  Picture Night is the only activity sponsored by this committee.  Another committee such as the Annual Outing Committee, may sponsor a potluck and slide show.

    C – Climbing:  ALL climbing or climbing-related activities.

    TD - Trail Development:  All trail development (TD) trips, regardless of when they occur.  TD trips during the week are jointly sponsored by TD and Mid-Week Hikes (MW).

    D – Dawdlers:  Anything labeled Dawdlers regardless of when it occurs.  Try to be sure that all dawdler trips include the work “dawdler” in the title or write-up.  (It is impossible to include the work dawdler in the titles sometimes, as it will require an additional line. Editor’s choice.)

    BP – Backpack:  All backpacking trips regardless of days.

    H – Hiking:  Hikes that occur on week-ends.

    MW - Midweek Hikes:  Hikes that occur Monday through Friday (EXCEPT dawdlers and TD co-sponsors).

    WS - Winter Sports:  All winter sports such as skiing, snowshoeing, including some two or three day affairs of a winter sport type.

    CN – Canoeing:  Canoeing trips, regardless of days.
